{"id":270,"date":"2020-09-11T15:44:26","date_gmt":"2020-09-11T15:44:26","guid":{"rendered":"http:\/\/digital.eca.ed.ac.uk\/hybridteaching\/?p=270"},"modified":"2020-09-11T15:44:26","modified_gmt":"2020-09-11T15:44:26","slug":"making-a-virtual-meeting-sign-up-sheet","status":"publish","type":"post","link":"https:\/\/digital.eca.ed.ac.uk\/hybridteaching\/making-a-virtual-meeting-sign-up-sheet\/","title":{"rendered":"Making a virtual meeting sign-up sheet"},"content":{"rendered":"\n<p>By Nikki Moran, Reid School of Music<br><a href=\"mailto:n.moran@ed.ac.uk\" class=\"autohyperlink\">n.moran@ed.ac.uk<\/a><\/p>\n\n\n\n<p>I have been thinking and talking to people about the best way to schedule Personal Tutor and other student meetings.&nbsp;&nbsp;Options include blocking out a time for drop-ins, then use the Lobby function in Teams to let individual students in.&nbsp;&nbsp;Or, use your Calendar, and ask students to make appointments according to your availability.<\/p>\n\n\n\n<p>Here is another possible solution for ECA Personal Tutors needing to schedule their online group and 1-to-1 meetings in the next couple of weeks.&nbsp;&nbsp;It is also useful if you have irregular office hours.&nbsp;<\/p>\n\n\n\n<p>This is it: Use anything in Office or Office365 to make a basic grid. I used OneNote.&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"blob:https:\/\/digital.eca.ed.ac.uk\/e0e28985-7f80-475e-8070-5d76db841838\" alt=\"\"\/><\/figure>\n\n\n\n<p>It gives similar scheduling flexibility as a Doodle poll \u2013 better, I\u2019d say \u2013 and it has the advantage that it keeps you right by our institutional guidance on GDPR.&nbsp;&nbsp;<\/p>\n\n\n\n<p>This is the process.<\/p>\n\n\n\n<p>Make a sign up sheet\u00a0\u2192\u00a0Save it to OneDrive\u00a0\u2192\u00a0\u00a0Paste a link into ECA Senior Tutor\u00a0<a href=\"https:\/\/teams.microsoft.com\/l\/file\/9BBD6A64-6947-4C00-A415-E401A4C4ACD1?tenantId=2e9f06b0-1669-4589-8789-10a06934dc61&amp;fileType=docx&amp;objectUrl=https%3A%2F%2Fuoe.sharepoint.com%2Fsites%2FECAPersonalTutors%2FShared%20Documents%2FGeneral%2Fresources%2FUGnewstudentPTtemplate%5B2%5D.docx&amp;baseUrl=https%3A%2F%2Fuoe.sharepoint.com%2Fsites%2FECAPersonalTutors&amp;serviceName=teams&amp;threadId=19:b5078780243846639204e02f699f6ddb@thread.tacv2&amp;groupId=1ef515cc-170c-4e1b-a372-493ef10661a6\">Dee&#8217;s &#8216;Welcome message&#8217; template<\/a>\u00a0\u2192\u00a0Have students schedule themselves up according to your availability.<\/p>\n\n\n\n<p>Here is a link to&nbsp;<a href=\"https:\/\/uoe-my.sharepoint.com\/:o:\/g\/personal\/nmoran_ed_ac_uk\/EiC4FGFPgf1CnJ9bWbmekjwBIgl1apaXZqPlfojhBH5YUQ?e=ibapYI\">a sign-up template in OneNote<\/a>&nbsp;that you can copy.&nbsp;<\/p>\n\n\n\n<p><strong>If you want to go one step further,&nbsp;<\/strong>use MS Teams<strong>&nbsp;<\/strong>to<strong>&nbsp;<\/strong>\u2018Create a Team\u2019 for<strong>&nbsp;<\/strong>your personal tutees.<\/p>\n\n\n\n<p>Step 1. Make a team \u2013 the \u2018Other\u2019 type option is fine.<\/p>\n\n\n\n<p>Step 2. Make it private.&nbsp;<\/p>\n\n\n\n<p>Step 3. Skip the step where you add people.&nbsp;&nbsp;<\/p>\n\n\n\n<p>Step 4. Go back the Teams view, find the&nbsp;&nbsp;\u2018\u2026\u2019 and click More options &gt; Manage team.&nbsp;<\/p>\n\n\n\n<p>Step 5. Select the Settings tab &gt; Team code &gt; Generate. Click Copy.<\/p>\n\n\n\n<p>Share this code in your Welcome email and invite students to join the Team.&nbsp;&nbsp;You can pin your sign-up sheet in the Team, just as if it\u2019s a piece of paper stuck to your door.&nbsp;&nbsp;<\/p>\n\n\n\n<p>Do this by adding a tab in your General channel \u2013 see screengrab.&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"blob:https:\/\/digital.eca.ed.ac.uk\/eccfbee4-23e4-4a74-9e1f-bbd52f01c9d5\" alt=\"\"\/><\/figure>\n\n\n\n<p>Reasons you might want to do it this way:&nbsp;<\/p>\n\n\n\n<ol><li>Generate instant magic community feeling&nbsp;<\/li><li>Reduce&nbsp;<a href=\"https:\/\/en.wikipedia.org\/wiki\/Transactional_distance\">transactional distance<\/a><\/li><li>Save yourself from email inbox traffic<\/li><\/ol>\n\n\n\n<p>(PS &#8211; You will still have to suffer EUCLID to do the following:\u00a0\u00a0Find your personal tutees and their records, press the red attendance button, enrol them on courses, keep notes\/document meetings, and send any group emails.
